Who holds your personal data?

Boxer Motor Co Ltd is the data controller who holds your data when you provide details to us via our website, telephone, email or in person.

What information do we collect?

We collect information from you when you book a service, MOT or vehicle repair, request a quotation, complete a form on our website, register for a loyalty card, complete a customer survey or enter a competition.  In these cases the information we collect includes: your name, telephone number, email, address, vehicle registration details, the make and model of your vehicle and any other information pertinent to the nature of the data collection.

What do we use this information for?

When we service, repair or MOT your vehicle we keep your name, email, address, tel and vehicle details on file along with details of work carried out and any advisory notices etc.

This information is kept electronically on a secure server locally using our garage operational software.  In accordance with the DVLA/motoring safety regulations we will use this data to advise you of due dates for MOT, service or repair work in a timely manner.

If you send us an enquiry this information is held in our email software to answer your enquiry only and then it is deleted.  If you then ask for a quotation or agree to have work carried out your information is recorded in the same way as detailed above.

If you have signed up for either a Boxer Loyalty Card or a Boxer Motor Home Loyalty card your name, email, address, telephone, vehicle registration, make and model is recorded and kept on an email software platform called Mailchimp.

We use this data to email you once a month with details of our latest offers and discounts which change monthly.  You can choose to opt out of receiving this email at any time by clicking the unsubscribe button.  In accordance with Mailchimp’s GDPR regulations your data will be moved into the unsubscribe list and we will not contact you again

If you enter a competition or complete an online survey, we use this data for the purpose it is intended.  We do not retain your personal data for other marketing purposes unless you have consented to this.

Cookies

We use cookies to automatically gather certain, limited, data about your visits to our website via google analytics: This includes demographic data and browsing patterns; your IP address which identifies the computer, and location that you use to access the site; the time and date of your visit; browser type and version; operating system; internet connection details, as well as a breakdown of your journey through our site and services.

Cookies are enabled on the basis of your consent. The acceptance of cookies does not create any conditions regarding your rights under UK and EU data protection regulations.

We implement a variety of procedures including installation of malware software, operational software backups, and regular website security tracking activities to prevent breaches.

How long do we keep your data?

We will only retain your personal data for as long as necessary to fulfil the purposes we collected it for, including for the purposes of satisfying any legal, accounting, or reporting requirements. To determine the appropriate retention period for personal data, we consider the amount, nature, and sensitivity of the personal data, the potential risk of harm from unauthorised use or disclosure of your personal data, the purposes for which we process your personal data and whether we can achieve those purposes through other means, and the applicable legal requirements.

By law we have to keep certain basic information about our customers (including Contact, Identity, Financial and Transaction Data) for a minimum of 12 months and up to six years for tax purposes.

Automated decision making, including profiling

We do not perform automated decision making, including profiling.

Your rights to your personal data

We will enable you to exercise your rights regarding personal data at all times. The following are your rights under UK and EU data protection regulations.

  1. To know if we are processing your personal data.
  2. To request a copy of your personal data processed by us.
  3. To ask us to rectify any errors in your personal data.
  4. To request, under specific conditions, to erase your personal data
  5. To restrict the processing of your personal data.
  6. Under specific conditions to request the right to port your data to another provider.
  7. To object to automated decision making, including profiling.

We may need to request specific information from you to help us confirm your identity and ensure your right to access your personal data (or to exercise any of your other rights). This is a security measure to ensure that personal data is not disclosed to any person who has no right to receive it. We may also contact you to ask you for further information in relation to your request to speed up our response.

We try to respond to all legitimate requests within one month. Occasionally it may take us longer than a month if your request is particularly complex or you have made a number of requests. In this case, we will notify you and keep you updated.

Consent

If you use Boxer Motor Company to service, repair or MOT your vehicle, you use our website or you request a Boxer Loyalty Card, Boxer Motorhome Loyalty Card or you complete any forms or surveys, you consent to the use of your data under the terms of our privacy policy.
